An industry-leading manufacturer of bespoke furniture required a modern project document management software solution capable of securely and intuitively storing documents for each of its projects.
The company was already using SharePoint for document storage. But all files were in a single document library. Staff were struggling to find documents and an attempt to restructure SharePoint had only exacerbated the problem.
Their previous IT support company had created a mapped drive for users to access documents stored on SharePoint, but the connection was poor, resulting in frequent authentication issues. This, coupled with the single document library, meant a frustrating and inefficient experience for users.

The company needed a solution to allow documents to be stored and managed more effectively for each project. The solution had to be scalable, so it could grow with the company and future projects.
After analysing their setup and the issues they had with the previous solution, Akita began with consultancy to understand their project processes. Following this, we set the following objectives:
- Create a project document management system structure that is logical and uniquely suits their current business processes
- Set up all users in the organisation to use OneDrive sync, rather than mapped drives, to avoid the authentication issues they experience previously
- Create a solution that can scale with the company and allow future integration with Microsoft Dynamics 365 and Power Platform automation
The solution we implemented increased efficiency across their business. Gone were the authentication issues they had experienced previously, and all their documents were stored in a way that allowed easy access and collaboration for users across the organisation.
