SharePoint Applicant Tracking System (ATS) For Global Finance Division Of A Leading Automotive Organisation

Constructing a SharePoint ATS for the finance division of a global vehicle manufacturer to streamline their hiring process and reduce both manual effort and user error in their onboarding process.

Requirement

The organisation had issues with organising the extensive number of applications they were receiving for job roles posted on their website. Additionally, their job descriptions were not linked to the vacancies, so duplicate job descriptions started to arise with variations where updates had been made but not to a master document.

They needed a solution to streamline and automate areas of their onboarding process to help them bring on the right people and improve the user experience for their hiring team.

SharePoint ATS Development

To resolve their issues, we constructed an applicant tracking system using Microsoft SharePoint that could store all their applications as well as provide an area to edit them.

During our development process, the organisation asked us to customise the setup to allow vacancies to be referred to relevant contacts. This way they could get a higher volume of relevant applications submitted. We also set up an email system that sends automatic replies to applications after they’ve been reviewed either confirming the next steps or rejecting the application.

The organisation also wanted to make the experience easier for their applicants as well, so we designed a custom function which allows them to upload CVs and cover letters directly within the application.

Results and ROI

Our solution has significantly improved the hiring process for the organisation, streamlining operations for the hiring team. Staff are now able to search and filter for vacancies based on location and can also see live statuses on each vacancy to ensure that only live vacancies are visible to external users.

Administrators now have the ability to edit all areas of the ATS meaning job descriptions can be updated live on the site as and when needed. Additionally, they can post internal vacancies only visible to people within the organisation and post new vacancies in a dedicated admin area.

Their vacancies and job descriptions are now fully consistent and the ATS acts as a single source of truth.
