Akita worked with a company in the waste removal industry that was looking to migrate away from Weighsoft, its waste management software.
The company needed to download an enormous volume of customer invoice data - approximately 150,000 entries - in PDF format.
It was understood that the system - hosted on a local Windows server with SQL database - only allowed for the manual downloads of each invoice. This method was impractical for such a large number of documents.
The task required an efficient, automated solution to handle the bulk download without overwhelming system resources or causing operational disruptions. As such, Akita was able to approach the project with an automated solution.
Data Migration At Scale
To address this task, Akita designed a bespoke automation solution leveraging a combination of IntelliJ, Java JDK, and Selenium technologies. The solution was designed to seamlessly interact with the Weighsoft system: accessing each invoice record, and systematically downloading them as PDF files to a local drive.
A key aspect of this solution was its ability to handle large datasets. The automation solution was equipped with logic that enabled the company to set parameters (such as specific page numbers) allowing for batch downloads of the data.
This feature was crucial in managing the immense volume of records, minimising the risk of interruptions or system overloads that can occur with unsegmented data retrieval.
Results
The automated solution has transformed the company’s data handling process. The customer could effortlessly retrieve large batches of invoice data, supporting its migration away from Weighsoft.
What would have taken 3000 days to complete manually was streamlined and automated, at a cost point that was 97% cheaper than execution by an employee.
The automation solution therefore demonstrates the potential power of custom software solutions in transforming business processes.
