Maximising Microsoft 365 licences by migrating data to SharePoint Online's cloud environment
Akita assisted a management consultancy to migrate to Microsoft 365. We then helped them maximise the use of their licences with a file server to SharePoint Online migration.
The growing organisation had been using an onsite server for the purposes of file storage. However, at the start of 2020, the server’s operating system - Microsoft Server 2008 – reached end of life. This meant it was no longer supported and therefore at risk from security threats.
Microsoft 365 migration
Working with Akita, the organisation took the opportunity to migrate from their onsite setup to a cloud-based Microsoft 365 solution.
Once the Microsoft 365 migration had taken place and users were set up with the relevant licences, the consultancy was able to take advantage of the 1TB of free cloud storage that Microsoft provides each organisation. We, therefore, configured SharePoint Online to act as a replacement file storage solution for the organisation, thereby replacing the need for the server.
File server to Sharepoint Online migration
Several users were already using personal OneDrive accounts to store information. While this offered them the flexibility of access, it meant information was siloed. As part of the file server migration, therefore, Akita undertook a sync to move data from personal accounts into the organisation’s new SharePoint Online setup. Started on a Friday night, the solution was fully operational for Monday morning.
We also applied the appropriate security controls, ensuring that only senior staff could access sensitive documents relating to HR and financial information. Together with Microsoft 365’s security measures, this ensured the platform was completely secure for use.
Following the onsite file server to SharePoint Online migration the consultancy was able to work more flexibly, accessing company information wherever they were. The result also meant that the redundant file server could be decommissioned, saving the consultancy money on power and ongoing maintenance.
